Office Manager + On-Site Ops Support
20 hours pre-event + Build/Festival/Strike July 1-July 9
Leadup
Create updated list of office supplies needs and work with operations director to ensure everything is ordered on time
Implement walkie-talkie organization and distribution system
Work with ops director to update list of walkie channels for both build and festival
Be a resource for ops director to consult based on your extensive production experience
Join calls with ops director/ops team as needed prior to event (likely 2-3 total)
Work with Operations Director to build list of signs needed + organize printing
Assist with additional operations/production admin tasks as needed
Consult with Quartermaster on equipment org and familiarize yourself with their system to be an extra person in-the-know during build
Onsite
Manage production office
Setup the space during build
Ensure all materials are restocked and available as needed
Setup walkie talkie check-in/out system at office and ensure walkies are distributed to all people/spaces where they’re needed for build and festival
Work with quartermaster to manage golf carts and keep them fueled during the festival
Bring supplies to decorate/mark golf carts to easily distinguish them
Work with ops assistant to setup lead production team golf carts to make them as practical as possible (because we will definitely forget all the little things that make it such a better experience!)
Oversee any golf cart assignment changes to transition from Build to Festival
Keep extra keys on hand and distribute as needed
Maintain food & bev in staff lounge area during festival. Check daily to make sure it doesn’t get too messy
Support production team throughout the festival. Help put out fires, be an extra set of eyes and ears, step in to assist with tasks as needed
Be extra set of eyes and ears to support lead producers on site and help put out fires
Work with quartermaster to ensure all signs are distributed where they need to be
Assist Quartermaster with equipment organizing/distribution as needed
Breakdown office during strike, assist quartermaster and production team with other strike needs
As the CAMP Safety/First Aid Lead, you will be the point person responsible for ensuring the safety of all attendees and implementing all safety regulations and guidelines during the event. Your role will include creating and implementing our safety policies and procedures, managing all volunteers and ensuring they are properly equipped and supported during their shifts, and setting up the first aid headquarters. *You must plan to arrive on site with enough time to set up the space, either on July 8 or first thing on July 9 (doors open at 12pm on the 9th).
The ideal candidate will have EMT training or similar background in emergency medicine, experience in event safety management, excellent organizational and people management skills, and a calm and assertive demeanor in high-pressure situations.
Responsibilities
Create document outlining safety policies and procedures, working with the harm reduction lead and operations team to incorporate feedback from last year. This should include but not limited to:
Developing and implementing emergency response plans. Chain of command for handling incidents, who needs to be informed and who has the final call on any actions to be taken in various scenarios
Handling any immediate medical needs that arise during the festival.
Walkie talkie protocols
Shift assignments, including finding substitutes for any no-shows
How and when to get Security or emergency responders involved
Scope of first aid care to be rendered within the limitations of our General Liability insurance
Ensure incident reports are completed for every person rendered care
Oversee the setup and operation of first aid headquarters on-site + collaborate with harm reduction lead on zen space.
Manage the inventory of all safety supplies
Pre-event: update list of supplies needed, based on inventory to be provided from last year + ensure all supplies are ordered in a timely manner
On-site: track materials used and provide supplies inventory at the end of the event.
Train and supervise first aid volunteers.
Safety/First Aid Lead
Time Commitment ~15-20 hours pre-event + on-site build July 1-4
Compensation: ticket to CAMP (July 5-8), meal plan + cabin bed
As the Kitchen Lead, you will be an essential part of CAMP build week. You'll lead a team of three dedicated volunteers to ensure our crew is well-fed and energized throughout the event. Your responsibilities will include:
Menu Design & Scaling: Design the menus for the week, taking into account budgetary limits and any dietary restrictions of the crew. Scale recipes to ensure sufficient quantities to feed everyone.
Shopping & Budgeting: Create a comprehensive shopping list based on the menus + snacks, working within the budget allocated for the event. Handle all food shopping, including any online pre-orders and prioritizing going on Costco/Walmart/grocery runs upon arrival at build.
Equipment Management: Create a list of necessary kitchen tools and appliances, and ensure these are either purchased or brought by someone on the team.
Meal Preparation, Service & Clean Up: Oversee all food prep, cooking and service throughout build + any food prep that may need to be done in Brooklyn prior to build, including preparing the first day’s lunch, so it is ready to serve shortly after arrival on site.
You and your team will be responsible for cooking, serving and cleaning up after 3 meals/day (12 meals total) + divvying up and delivering 2 snacks/day to crews at their job sites.
It is important to ensure the dining hall is left clean after meal times, to help us maintain a good relationship with the Ramblewood staff. We can discuss strategies for tackling this, whether creating a cooking and cleaning shift schedule for your teams; or lightening the load by implementing clear expectations among the wider build crew for cleaning up after themselves.
IMPORTANT: Please note that we won't have access to Ramblewood's kitchen. All prep work will be done in the dining hall, and a makeshift kitchen setup will be available outside, equipped with a flattop, grill, and camping stove. This means we only have access to a small hand-washing sink or outdoor water taps. We can work with you to arrange for any additional appliances like slow cookers or Instant-Pots that you might need.
Build Kitchen Lead
Time Commitment: ~15-20 hours pre-event; setup on-site July 4 or 5; CAMP July 5-8
Compensation: Salary TBD commensurate with experience + ticket to CAMP + meal plan + bed in staff cabin
Role & Responsibilities
Pre-Event (ASAP-June 30)
Review volunteer applicants for qualifications and experience level; vet applicants via email/phone call as needed (on a rolling basis, beginning with pool of existing applicants immediately upon hire)
Work with Volunteer Coordinator to ensure better qualified applicants are spread out as ‘lead’ on each shift as much as possible
Create protocol documents that clearly outline escalation procedures for volunteers to followed in any situations that may arise, working with Consent Lead and Operations Director to ensure all departments are aligned on final decisions
Ensure all documents are shared with volunteers ahead of time + hard copies are readily accessible on site
Act as main point of contact for harm reduction volunteers once they’re confirmed, answering questions as needed and ensuring they receive all the necessary info and shift expectations (i.e. any pre-event training, mandatory on-site orientation)
Update/manage list of items needed to setup the sanctuary space and ensure all items are ordered on time or assigned to someone to bring
Participate in up to 4 safety department calls to coordinate roles and align on processes across relevant leads/teams (consent, first aid)
On-Site July 5-8 (arrive the evening of July 4th or early on July 5th - gate opens at 12pm)
Set up sanctuary space on site. Recruit volunteer assistance as needed or communicate beforehand with Operations Director to wrangle helping hands
Lead on-site orientation for all harm reduction volunteers. Ensure all protocols, systems and resources are clearly communicated at this time and that volunteers are shown where to find written materials for easy reference throughout the event. Important info to cover includes but is not limited to:
hierarchy of escalation for incidents that may involve asking someone to leave
proper walkie talkie usage
intro to security team and how/when to involve them
tour of the space and all materials/resources available to them
Work 3 shifts (1 day + 2 nights, including the final night) + on-call shift during the event
Be responsible for ensuring all Harm Reduction volunteer shifts are covered on site, finding replacements for any no-shows
Ensure reports are filed for all incidents handled by your team.
Create a post-shift check-in system for volunteers to let you know if there were incidents (i.e. via text message or walkie-talkie or wipe board) so you can maintain awareness of any mounting situations or characters that we need to keep an eye on.
Schedule on-call shifts for yourself or other more qualified team members (i.e. consent lead) to be available for any difficult situations that might arise where volunteers might need additional support consent lead and possibly one other qualified person
Strike sanctuary space on July 8 and create inventory list of all materials that belong to CAMP. Make sure to let volunteer coordinator know in advance if you will require helping hands for this.
Post-Event
Send feedback notes of what you think went well and what you think can be improved for next year
Submit receipts + reimbursement requests for any purchases you made
Participate in department debrief call with ops director, consent lead and first aid lead
